ACCOMMODATION BOOKING TERMS & CONDITIONS

All services booked through The Barns of Freeling are subject to the following policies. The Barns of Freeling have contracted VENYU (ELM Events Pty Ltd) to manage the booking process and these policies on their behalf.

As a small accommodation provider, late cancellations or booking changes can result in unoccupied suites, which significantly impacts our business. The booking and cancellation policies below offer guests a fair and reasonable amount of flexibility and apply in all situations. We recommend travel insurance for all bookings to ensure protection against unforeseen circumstances and travel cancellations.

 

Booking & Payment Terms

  • Booking Options: Bookings can be made on The Barns of Freeling website or by calling the VENYU team on 0477853129.

  • Payment Methods: Payment can be made online via credit card. We accept Mastercard, Visa, and Amex, with processing fees included in the suite price.

    • Credit card details are required as booking security, securely stored by the payment provider, and automatically deleted 30 days after checkout.

  • Payment Terms: Payment is due 8 weeks prior to the arrival date.

  • For bookings made within 8 weeks of arrival, full payment is required at the time of booking.

  • EFT Payments: Payments via EFT (bank transfer) are available upon request by contacting hello@venyu.com.au to arrange an invoice.

 

Minimum Stay

  • No minimum stay applies to ordinary dates.

  • A 2-night minimum stay applies during Easter, Christmas, New Year’s, and all long weekends.

 

Suite Types & Accessibility 

  • Available Suites: The Barns of Freeling offers 3 Silo suites and 3 Barn suites, all of which are self-contained accommodations with no housekeeping services.

  • Accessibility: The 3 Silo suites are not suitable for accessible needs or for children under 5 years old due to their two-storey design and staircase. While the 3 Barn suites are all ground level accommodation, only Barn Suite 3 is fully accessible.

 

Date Changes & Cancellations

  • Date Changes: Date changes can be requested before the arrival date and are at The Barns of Freeling’s discretion. New dates are subject to availability, and any rate or suite type differences must be paid to confirm the change.

  • Cancellations

    • Notified more than 8 weeks before arrival: Refund of any money paid, less credit card processing fees.

    • Notified less than 8 weeks before arrival: No refund, but the amount may be transferred to a future booking within 12 months, subject to availability. Any rate differences must be paid.

    • No-shows or early departures: No refund applies.

Check-In & Check-Out 

  • Check-In: From 2 PM on the day of arrival.

  • Check-Out: By 10 AM on the day of departure.

  • Early check-in and/or late check-out can be requested prior to arrival and is subject to availability. 

  • Late departure: Guests are expected to vacate suites by their confirmed check-out time to allow adequate time to prepare for incoming guests. If the cleaning staff are kept waiting due to late departure a charge of $60 per hour (or part thereof) will apply.

 

Additional Guests & Children 

  • Additional Guests: 

    • Trundle Beds: Up to 2 trundle beds (suitable for children/adults under 100kg) are available onsite upon request at $50 per night, which includes linen and towels. Trundles are set up on the ground floor only and must not be moved upstairs under any circumstances.

    • Portacot: One portacot is available onsite for infants, free of charge (linen not provided). This is offered on a ‘first come, first served’ basis and must be requested in advance.

  • Children: 

    • Children are welcomed at The Barns of Freeling however child safety is the responsibility of parents/guardians. The suites are in close proximity to the Function Centre and Farmland (regular use of farm machinery). For safety we request children are properly supervised and remain close to parents at all times. 

    • The Silo suites are not suitable for children under the age of 5 due to safety concerns with the staircase. We recommend families with children stay in one of our luxurious Barn suites.

 

Shared Facilities

  • Guests have access to:

    • Rumpus Room with Billiard Table

    • Kitchenette & Laundry 

    • BBQ facilities (available when Function Centre is not in use only) 

  • Please leave shared facilities clean and tidy for other guests.

 

Noise Curfew 

  • To respect other guests and neighbouring properties, all noise must cease by 9pm, and any visitors are also to depart by this time.

 

Excess Cleaning & Damages

  • We ask you to show respect and care for our property. It is the guests’ responsibility on departure to leave the accommodation tidy and in a respectable condition. While we understand that accidents can happen, guests must report any such incidents to management. 

    • Excess Cleaning: It is the guests’ responsibility on departure to return any items removed from the suite and to leave the suite in a tidy respectable condition. Your suite is prepared with care and attention to detail. Additional cleaning incurs a minimum charge of $60.

    • Biohazard Cleaning: The cleaning of any biohazard waste (e.g. vomit or bodily fluids) will incur additional charges as follows:

      • Specially trained staff: A minimum charge of $132 per hour, plus

      • Biohazard cleanup kit: Charged at purchase price (currently $62).

    • Damages: Excessive damages to goods/property will be assessed and charged at repair/replacement cost. 

    • Smoking /Vaping: Permitted outdoors only. Cleaning charges of $60 apply for indoor smoking or vaping, with additional fees for triggered alarms.

  • Any of the above additional charges will be communicated to guests within 72 hours of departure. Payment can either be invoiced for EFT (bank transfer) OR the credit card provided will be charged. 

 

Group Bookings & Events 

  • The use of the accommodation and facilities are for booked guests only.

  • If multiple suites have been booked by members of a group, please add this in your guest comments and we will aim to provide adjoining suites where possible. 

  • Accommodation-only bookings cannot use the Barns of Freeling for any functions or events such as weddings, elopements, commitment ceremonies, pre/post wedding gatherings, birthdays, business meetings and hens/bucks parties without a function booking. Please contact us via the website or email hello@venyu.com.au for any event enquiries. 

  • If you wish to use the accommodation for a place for your bridal party and other persons to get ready before your offsite wedding, an additional fee applies (POA). 

 

Function Centre 

  • Please respect the privacy of our function clients and do not enter the function centre garden or premises during an event. 

  • If the function centre is unused, guests may explore the gardens but please avoid using its facilities (except the BBQ).

  • Function Centre clients must similarly conclude their event and all noise by 9pm unless they have booked all six accommodation suites. 

 

Pets

  • Pets are strictly not allowed inside the accommodation.

 

Paddocks & Pests

  • This is a working farm first and foremost, so the paddocks are off-limits due to the risk of damage and contamination. We ask you to respect and enjoy them from a distance only. 

  • Being in a country area, snakes, mice and other pests are always a risk. Please ensure you keep your doors shut to avoid any unintended visitors.
